PRIVACY POLICY.

What we collect, why, how long we keep it, and how to make us delete it. Including exactly where AI touches anything you send us.

This policy explains what Cloud Guardian LLC collects through cloud-guardian.com, why, how long it is kept, and what you can do about it. It covers the website. Data we process inside a client's environment under a signed Exhibit is governed by the Support Services Agreement, where we act as a service provider on that client's instructions rather than for our own purposes.

1. What we collect

What you give us. Name, business email, phone, company, and whatever you write in a contact form, a free assessment request, or an estimate. Only submit what you are comfortable sending; a web form is not the place for passwords, account numbers, health information, or security findings.

What your browser sends. IP address, user agent, referring page, pages viewed, and timestamps, in standard server logs. We also use privacy conscious analytics to understand which pages get read and which do not.

Visitor identification. We use a third party business identification tag that attempts to match a visiting IP address to a company, not to a person. It tells us that a business in our market read our SOC page. It does not tell us who you are, and we do not attempt to identify individuals from it. If you would rather not be counted, see the choices section below.

2. Why we use it

To answer your enquiry, prepare a quote, deliver and support services, keep the site secure and working, understand which content is useful, meet legal and tax obligations, and, where you have not objected, tell you about services relevant to your business. We do not sell personal information, and we do not process it for targeted advertising as those terms are defined under the New Jersey Data Privacy Act.

3. Artificial intelligence

AI systems, including services operated by third parties on our behalf, may process what you submit in order to draft a reply, summarise an enquiry, or route it to the right engineer. We use business or enterprise terms with those providers that exclude your content from their model training. A person reviews anything substantive before it reaches you. We do not make decisions with legal or similarly significant effects about you by automated means. Section 3 of our Terms of Service covers AI on the site itself, and section 9 of the Support Services Agreement covers AI in service delivery for clients.

4. Cookies and similar technology

We use cookies and local storage that are necessary for the site to function, plus analytics and the business identification tag described above. Browser controls let you block or delete cookies, and most browsers honour a Global Privacy Control signal, which we treat as an opt out request where it applies.

5. Who we share it with

Service providers who host the site, deliver email, run analytics, process forms, and provide the AI services described above, each under contract and only for the purpose we engaged them for. Professional advisers where needed. Authorities where the law requires it. An acquirer, if the business is sold, subject to this policy. Nobody else.

6. How long we keep it

Enquiries and quotes for up to three years from the last contact. Client records for the length of the engagement and seven years after, to meet tax and professional obligations. Server logs for ninety days. Analytics in aggregated form indefinitely. Anything you ask us to delete goes sooner, unless we are required to keep it.

7. Your choices and rights

You may ask us to confirm what we hold about you, to correct it, to delete it, to give you a copy, and to stop using it for marketing. If you are a New Jersey resident, the New Jersey Data Privacy Act gives you these rights, along with the right to appeal a refusal. Residents of other states with similar laws have comparable rights and we handle those requests the same way.

Write to us through the contact page or call (732) 743-5472. We respond within forty five days and will tell you if we need longer. There is no charge for a reasonable request. If we refuse, we will explain why and how to appeal, and you may also contact the New Jersey Division of Consumer Affairs.

8. Security

We are a security company and we hold ourselves to what we sell: encryption in transit, least privilege access, multi factor authentication on administrative accounts, monitored infrastructure, and vendor review before a provider touches anything. No system is perfect, and we will tell you promptly if something happens that affects you.

9. Children

This is a business to business site. It is not directed at children under sixteen and we do not knowingly collect their information. If you believe we have, tell us and we will delete it.

10. Changes and contact

We update this policy as our practices change, and the version and effective date at the top tell you which one you are reading.
